1. Who we are
BinSync Management Systems ("BinSync", "we", "us") operates the BinSync smart waste management platform at binsync.eco. BinSync synchronizes collection operations across a web management dashboard for dispatchers and supervisors, a mobile app for garbage truck drivers, and a mobile app for residents and citizens.
This Privacy Policy explains what information we collect when you use the BinSync platform, why we collect it, how it is used and shared, and the choices you have. It applies to all BinSync surfaces: the website, the web management dashboard, and the driver and citizen mobile applications.
2. Information we collect
We collect information in three categories:
- Account and organizational information — name, email address, phone number, organization or tenant details, job role, and login credentials for dispatchers, supervisors, drivers, and residents who register or are provisioned by their organization.
- Operational information — collection routes, schedules, trucks, assigned drivers, trip tickets, stop check-ins, vehicle and device location gathered during active collection trips, completion photos, waste types and volumes, and service request records such as missed pickups or complaints.
- Technical and payment information — device type, browser, IP address, usage logs, and cookies or similar technologies. When you subscribe or make a payment, payment details are processed by our payment partner (HitPay) and are not stored on our servers.
Location data is collected only while a driver or vehicle is engaged in an assigned route or trip through the authorized BinSync application. Residents share their address or approximate location to receive schedule information and report service issues.
3. How we use information
We use collected information to operate and improve the platform, including to:
- Provide and manage accounts, roles, tenant workspaces, and subscriptions.
- Build schedules, dispatch routes, and publish collection plans to drivers.
- Track route progress, check-ins, and trip completion evidence.
- Show residents schedules and live truck tracking, and process service requests.
- Process payments and manage billing through our payment partner.
- Maintain security, prevent abuse, and comply with legal obligations.
- Improve services, analyze operational performance, and provide support.
4. Legal bases and consent
We process personal information on the basis of contract (providing the service you or your organization requested), legitimate interests (operating and securing the platform), legal obligation, and consent where required — for example for non-essential cookies or optional marketing communications.
In the Philippines, we comply with the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules and regulations. Where applicable, we also respect the requirements of the EU General Data Protection Regulation (GDPR) for users in the European Economic Area. You may withdraw consent at any time using the consent controls in the platform or by contacting us at the address in Section 13.
For operational data entered by an organization (its routes, schedules, trucks, drivers, and citizen interactions), the organization is the data controller and BinSync acts as a processor on its documented instructions.
6. Data retention
We retain personal information only as long as necessary for the purposes described in this policy, for the duration of your or your organization's relationship with BinSync, and to satisfy legal, accounting, or reporting obligations. When data is no longer needed, it is securely deleted or anonymized. Trip records and completion evidence are retained in line with operational audit and reporting needs.
7. Security
We apply appropriate technical and organizational measures to protect personal information against unauthorized access, alteration, disclosure, or destruction. These include access controls, encrypted transmission, monitored infrastructure, and role-based permission within the platform. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your rights and choices
You may have the right to access, correct, update, or delete your personal information, to object to or restrict certain processing, and to withdraw consent. Residents may also request a copy of the personal information BinSync holds about them.
To exercise these rights, contact us at privacy@binsync.eco or use the account settings in the application. We will respond within the period required by applicable law. You may also file a complaint with the Philippines National Privacy Commission or your local data protection authority.
10. Children's privacy
The BinSync platform is a professional and civic service tool and is not directed at children under the age of 13 (or the minimum age set by local law). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
11. International transfers
Data may be processed on infrastructure located outside your country of residence, including through cloud providers. Where we transfer personal information across borders, we take reasonable steps to ensure it remains protected in accordance with this policy and applicable law.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and update the “Last updated” date. Continued use of the platform after changes take effect constitutes acceptance of the revised policy where permitted by law.
